Instantly alternatives: other cold email tools, and a different approach

Instantly is a cold email platform built for volume: unlimited sending accounts, warmup and a shared inbox, with a lead database, a CRM and ready-made inboxes sold alongside. Its closest alternatives are other senders. Startories is the option for teams that also want the leads, the copy and the replies handled.

What Instantly is good at

Instantly made it simple to send cold email from many inboxes at once. Plans include unlimited email accounts, so you can spread volume across domains, and a built-in warmup network helps new inboxes build a reputation (Instantly's guide to unlimited sending accounts). Replies from every inbox land in one place.

Around the sender, Instantly sells other products: a B2B lead database called SuperSearch, a CRM, an AI reply agent (Instantly on AI Reply Agent pricing) and ready-made email accounts for teams that do not want to set up inboxes themselves. Current plans are on the Instantly pricing page and summarized in its plans overview.

It suits people who already know cold email: agencies, freelance lead generators and in-house teams who bring their own lists and copy and want a fast way to send at scale.

Why do people look for an Instantly alternative?

  • They need more than email. If LinkedIn steps or calls belong in the sequence, a multichannel tool fits better.
  • Agency requirements. Agencies managing many clients compare white-label options, client workspaces and reporting.
  • Pricing structure. Instantly prices sending, lead data and CRM as separate products. Some teams prefer one bundle; others want to pay only for the sender.
  • The list, not the sender. Often the real issue is who you email and why. Switching senders does not change results if the list and the message stay the same.

Sender or full pipeline: what are you replacing?

Cold email has five parts: finding companies, finding and verifying the right person, writing, sending, and handling replies. Instantly is strongest at sending, with add-ons for the rest. Smartlead, Saleshandy and Woodpecker are also senders first. Startories covers all five, starting from buying signals.

A quick way to decide: for one week, log the hours you spend on each of the five parts. If most of them go into building lists and writing copy, a different sender will not give those hours back. If most go into managing inboxes and fixing deliverability, another sender, or a setup that handles inboxes for you, is the right fix.

Here is what that log could look like for an invented two-person team selling a scheduling tool to B2B clinics and agencies, with one person running outbound part time.

One week of cold email hours, by part of the job (invented example)
Part of the jobHours this weekDoes a new sender change it?
Finding companies and pulling lists4.5No: the list comes from somewhere else
Finding and verifying the right person2Only if the new tool includes data and verification
Writing and testing copy2.5Barely, if both tools offer AI writing help
Sending: inboxes, warmup, schedules1Yes, this is the sender's job
Reading and answering replies3Partly, if replies are sorted for you
Total13About 1 of 13 hours sits in the part a new sender replaces
In this example the sender is not the problem. Twelve of thirteen hours sit in lists, people, copy and replies, which is the work an engine like Startories is built to take on; you still answer the real conversations. If your log puts most hours in the sending row, stay with a sender and pick the one that runs inboxes best.

When is Instantly still the right tool?

Plenty of teams searching for an alternative should stay where they are. Instantly remains the better pick in these cases:

  • You bring your own lists and copy, and they work. If replies are healthy and the only goal is more volume, a sender built for many inboxes is exactly what you need. Startories is not designed to send lists you import.
  • You run campaigns for clients. Freelancers and agencies sending for others need volume across many domains, the use case Instantly's agency guide is written for. Startories finds customers for your own business; it is not a delivery platform for client campaigns.
  • You want to choose each piece. Instantly lets you buy sending, lead data, a CRM and ready-made inboxes separately, so you pay only for the parts you use.
  • You need to add sending capacity. Unlimited email accounts on its plans, plus ready-made accounts sold separately, mean more volume is a matter of adding inboxes, not changing tools.
If one of these fits, compare Instantly with Smartlead before you leave the category. Our Instantly vs Smartlead page puts the two side by side.

The best Instantly alternatives, by use case

Startories: when you want leads and replies handled

Startories picks up buying signals (a founder asking for software recommendations, a launch, a hiring post), matches them to companies in your ICP, verifies the decision-maker and writes a first email about that event. It sends from dedicated, warmed-up inboxes on separate domains with daily caps, stops sequences on reply and pauses sending when bounces rise. Details on AI outbound.

  • Best for: B2B founders and small teams who do not want to manage lists, inboxes and copy themselves.
  • Limits: it is not built as a bulk sender for lists you bring; volume follows qualified signals and your plan (about 250 to 6,000 leads a month); email only.

Smartlead

The closest match to Instantly: unlimited mailboxes, automated warmup, a master inbox and white-label options for agencies (Smartlead). Best for: agencies running many client campaigns. See Instantly vs Smartlead for a feature-by-feature view and our Smartlead alternatives page.

lemlist

lemlist adds LinkedIn and phone steps to email sequences, with a lead database and its own warmup tool (lemlist). Best for: small teams who want multichannel sequences and heavy personalization. Compared directly in lemlist vs Instantly, with more options on lemlist alternatives.

Saleshandy

Saleshandy is an all-in-one cold outreach platform with multi-inbox sending, sequences and a lead finder (Saleshandy). Best for: teams that want sending and contact data in one subscription.

Woodpecker

Woodpecker is a cold email and LinkedIn outreach tool focused on safe sending, with a unified inbox on every plan (Woodpecker). Best for: B2B teams and agencies that value deliverability safeguards and a simple setup.

Reply.io

Reply.io runs multichannel sequences and adds Jason AI, an AI SDR agent (Reply.io Jason AI). Best for: teams that want sequences and an AI agent in the same platform. See our Reply.io alternatives too.

What does a cold email stack really cost?

Comparing subscription prices hides most of the cost. Here is a monthly budget for a small in-house setup, with every assumption stated. Replace the numbers with your own quotes.

Assumptions: 3 sending domains with 2 inboxes each; about 30 cold emails per inbox per working day; 21 working days; a 3-step sequence; your time valued at $60 an hour. That is about 3,780 emails a month, or roughly 1,250 new contacts.

Monthly budget for a small cold email setup (example with stated assumptions)
Cost lineIn this exampleNotes
Sender planYour Instantly or alternative planCheck the vendor pricing page for your volume
Mailboxes6 mailbox seatsGoogle Workspace or Microsoft 365 seats, or ready-made accounts
Domains3 domainsBilled yearly; divide by 12
Lead data and verificationAbout 1,250 contactsA database or credits, plus verification for every address
List building and copy6 hours a week: about $1,560Choosing segments, writing and testing variants
Reply handling3 hours a week: about $780Sorting out-of-office notes, objections and interested replies
In this example, time costs about $2,340 a month before any software, and the sender is one of the smaller lines. That is why "which sender is cheaper?" rarely changes the total, while "who builds the list and handles replies?" does. Our SDR cost guide runs the same math for a hire.

A sequence written from a signal, email by email

Lists give you contacts; signals give you a reason. Here is a three-email sequence for one signal, written as an example. You sell a help desk tool to B2B SaaS companies. A head of support at a 40-person SaaS company posts on X that ticket routing broke once the team reached 12 agents, and asks for an alternative to their current tool.

Email 1, the day after the post

Subject: routing at 12 agents

"Saw your post yesterday about routing breaking at 12 agents. That is usually where round-robin rules stop matching tickets to the right skills. We route by topic and agent skill, and current rules import in an afternoon. Want a two-minute video of it on a setup your size?"

Why it works: the first line proves you read the post, the second shows you understand the cause, the third makes one concrete claim, and the ask is a video, not a meeting.

Email 2, three days later

"A question that comes up next: do your macros and tags carry over? Ours import from a CSV export, so nobody rebuilds them by hand. Want the import checklist?"

Why it works: it answers the next objection a switcher has, and offers something useful even if they never buy.

Email 3, a week later

"Last note from me. If you already picked a tool, good luck with the move. If not, the offer of a short demo on your own ticket data stands."

Why it works: it closes the loop politely, which keeps the door open and keeps complaints low. The sequence stops the moment they reply.

You cannot send this from a list, because a list does not know about the post. Startories drafts sequences like this from the signal; you can approve each email first. Our page on competitor complaints covers how to answer posts that criticize a vendor without piling on.

Deliverability questions to ask any Instantly alternative

Whichever tool you pick, mailbox providers set the rules. Gmail and Yahoo require bulk senders to authenticate their mail, keep spam complaints low and support one-click unsubscribe (Google email sender guidelines, Yahoo sender best practices). Microsoft added similar requirements for high-volume senders to Outlook.com addresses (Microsoft announcement). Ask each vendor how its product keeps you inside those rules:

  • How does it help you set up SPF, DKIM and DMARC on every sending domain, and does it check them for you?
  • Does every email carry a one-click unsubscribe, and is an unsubscribe applied across all campaigns and inboxes?
  • What happens when bounces rise: does sending pause by itself, or do you find out from a report a week later?
  • Can you cap daily volume per inbox and ramp new inboxes slowly?
  • How do you watch spam complaints? Google points senders to Postmaster Tools for this.
  • What do you keep if you leave? Your domains and mailboxes stay yours; a vendor's warmup network stays with the vendor.
Our cold email deliverability guide turns these rules into a setup checklist you can follow with any sender.

Which mistakes make a switch look worse than it is?

Most failed moves between cold email tools fail for reasons that have nothing to do with the new tool. Each mistake below has a sign you can spot early.

Mistake: loading an old export into the new tool

How you notice it: bounces jump in the first days on mailboxes that were healthy last month. Why it happens: contacts saved months ago have changed jobs or companies. The fix: verify every saved address again before it goes into any new tool, and drop the ones that fail.

Mistake: losing the "not now" replies

How you notice it: a prospect who wrote "talk to me next quarter" never hears from you again. Why it happens: those replies live in the old shared inbox and nobody exports them. The fix: export every interested and "later" reply with its date, and put a dated reminder on each before you cancel.

Mistake: judging the new setup in week one

How you notice it: the new tool looks worse because its inboxes are still ramping while the old ones ran at full volume. The fix: compare the two only once both send similar daily volumes, and on the same kind of segment.

Mistake: moving the same list and copy

How you notice it: reply rates in the new tool almost exactly match the old ones. Why it happens: the sender was never the limit. The fix: change the reason you write, for example by contacting companies right after a recent funding round or a public request for a tool. A new sender alone will not do it.

Switching from Instantly without hurting deliverability

  1. Wind down, do not stop cold

Let running sequences finish so contacts are not dropped mid-sequence and replies are not lost between tools.

  2. Export suppression data

Download unsubscribes, bounces and positive replies, and keep them excluded in the new setup.

  3. Decide what happens to your inboxes

If you move to another sender, reconnect the same mailboxes and keep daily volume where it was instead of jumping to full speed. Reputation sits with your domains and mailboxes, not with the software.

  4. Keep cold email off your main domain

Whatever you move to, send from separate domains with warmed-up inboxes and capped daily volumes.

  5. Start Startories on one funnel

Choose one ICP and one signal, review the first leads, and compare meetings after a month. Plans start at $99 a month; the first Starter project starts with a 3-day full-access trial for $1. See Startories pricing.

Frequently asked questions

What is the closest alternative to Instantly?

Smartlead is the closest in design: unlimited mailboxes, warmup, a central inbox and agency features. lemlist, Saleshandy, Woodpecker and Reply.io are also senders, with different extras such as LinkedIn steps or a built-in lead finder.

Is Startories a replacement for Instantly?

Only if you want the whole pipeline handled. Startories finds leads from signals, verifies contacts, writes, sends and classifies replies. If you want a sender for your own lists and copy, another sending tool fits better.

Do I need my own inboxes with Startories?

No. Startories sends from dedicated, warmed-up inboxes on separate domains, with capped daily volumes per inbox. Your main domain is never used for cold outreach.

Can I keep my Instantly inboxes if I switch?

Mailboxes you created on your own Google Workspace or Microsoft 365 account are yours, so you can connect them to another sender. Keep their daily volume steady after the move instead of restarting at full speed.

Which Instantly alternative is best for LinkedIn outreach?

lemlist and Reply.io both combine email with LinkedIn steps, and Woodpecker also covers LinkedIn. Startories does not automate LinkedIn, so it is not the right pick if LinkedIn is central to your outreach.

Will switching tools fix low reply rates?

Rarely on its own. Replies depend mostly on who you contact and why. A new sender with the same list and copy will usually produce similar results; changing the targeting or the reason for reaching out has more effect.
